Organize private files around the situations in which you need to retrieve them. Use a few broad folders, name files with a recognizable subject and date, separate current documents from archives, and schedule a short review. The system should help you find the right item without exposing unnecessary detail in exported filenames.
Organize for the moment you need the file
Folder systems fail when they reflect an abstract taxonomy instead of a real task. Think about the moment you will search: showing identification, renewing insurance, finding a medical record, or retrieving a project photo.

Start with a small set of durable categories

Name files by subject, date, and version

Keep names short enough to scan on an iPhone. Put sensitive details inside the document rather than in a filename that may later appear in Files or a share sheet.
Exported names can reveal context

Review current, archive, and delete on a schedule
- Move finished work from Current Projects into its durable folder or Archive.
- Remove duplicates after confirming which copy is authoritative.
- Update expired documents with clear dates.
- Check Recently Deleted before permanent removal.
